Why is this role important?

The Senior Project Coordinator is responsible for the project management support of Education Department projects, quarterly corporate portfolio reporting, maintenance of the Education project repository, and support key Education objectives as directed by the Manager, Education and Team Leads. Tasks will generally include: the development and monitoring of program/project plans; supporting annual and quarterly planning; preparation of meeting notes, status reports; and collaborating and liaising with a variety of internal staff to administer the education delivery schedule.

What you’ll do

  • Develops and monitors program/project plans, including the development of project plans/charters and progress reports. Regularly monitors the overall progress and provides status updates and recommendations to management to ensure timelines and deliverables are on track.
  • Maintains the education project repository including keeping updates on all education artefacts, developing, and maintaining the Project Management Application and maintaining overall education planning processes. Audits the Project Management Application to ensure all education deliverables are on track and up to date.
  • Coordinates operational and logistical aspects related to the project/program, including, but not limited to, organizing and facilitating meetings, drafting, developing pertinent documentation and obtaining required approvals.
  • Leads the collection process of status metrics on projects and development for the education leadership team, highlight variances and project issues and recommends solutions.
  • Supports the annual and ad-hoc project intake process, supports Program Area Content Owners with questions on submission process, updates to education inventory and anticipated requirements for working with education.
  • Identifies process gaps, provides recommendations for process improvement and develops and implements changes to departmental process documentation (e.g. standard operating procedures, processes, procedures, tools, techniques).
  • Leads internal Education improvement initiatives.
  • Coordinates and liaises with external jurisdictional partners on custom education delivery product development and scheduling.
  • Coordinates department activities including retreats, planning sessions, and development of service standards and related tools.
  • Supports a positive client learning experience by overseeing product quality assurance activities and working with colleagues as needed to ensure accurate and timely learner support.
  • Provides guidance and direction to colleagues involved in the processing and coordination of logistics and registrations for education sessions, mentors junior staff and monitors workload.
  • Performs other related duties as required.

What you’ll bring to the table

  • Undergraduate degree in Business Management or Administration or related field, Project Management training or certification or equivalent combination of education/experience.
  • 3 to 5 years of related experience in coordinating multiple initiatives with competing deadlines.
  • Must be able to work with minimal direction and be flexible to coordinate complex activities that are subject to rapid changes.
  • Demonstrated ability to work within interdisciplinary project teams and/or multi-manager/matrix environment; facilitating discussion and building consensus with different management levels.
  • Experience in and understanding project management principles, the project management and systems development lifecycles including risk management, resource and contingency planning.
  • Demonstrated critical thinking skills in the assessment and evaluation of an issue in order to identify potential impacts and proposed recommendations.
  • Knowledge and experience with production planning of education products or services is an asset.
  • Strong organizational, communication (written and verbal), and interpersonal skills.
  • Proficiency in the use of Word, Excel, Access, and Client Relationship Management systems, project management tools.
  • Fluency in both official languages is an asset.
