Job Summary
We are seeking a highly reliable, detail-oriented, and discreet House Affairs Manager to provide caretaking and visit-preparation services for a private residence in Manhattan whose owner is in town approximately one week per month. The role also includes leading private entertaining at the residence during the principal’s visits — from business dinners to cocktail parties for up to 40 people — which the contractor plans and runs on-site from start to finish.
The role has two modes. Between visits, the residence is unoccupied and the contractor handles mail and delivery intake, periodic walkthroughs, and documenting and arranging for any needed repairs through approved vendors. In advance of the principal’s visits, the contractor coordinates housekeeping, ensures the residence is fully prepared, and attends to the personal touches that make a homecoming feel welcoming — fresh flowers, stocked refrigerator, preferred snacks and beverages, and similar details.
The position requires strong judgment, proactive communication, and the ability to operate independently with minimal oversight. The contractor sets their own schedule for caretaking visits and is engaged on a project basis for each visit preparation. The contractor will liaise with the principal’s London-based office for approvals and coordinate with vendors, building staff, and guests as needed.
Between-Visit Caretaking
- Conduct periodic walkthroughs to confirm the residence is secure and in good condition
- Receive mail and deliveries on behalf of the residence
- Identify and document maintenance needs (e.g., broken fixtures, appliance issues, building items)
- Obtain approval from the principal’s office and arrange for repairs or replacements through approved vendors
- Exercise judgment on upkeep, repairs, and replacements
Visit Preparation
- Prepare the residence in advance of arrivals, often on short notice
- Coordinate the housekeeper’s pre-visit service and confirm the residence is prepared to standard
- Track upcoming visits in coordination with the principal’s office
- Manage access logistics (keys, fobs, guest coordination)
- Attend to the personal touches that make a homecoming feel welcoming — fresh flowers, a stocked refrigerator with preferred foods, chilled waters, and similar details based on known preferences
Vendor & Building Coordination
- Coordinate with household vendors, including the housekeeper and maintenance providers, on behalf of the residence
- Schedule and oversee vendor visits, deliveries, and in-home services
- Maintain vendor lists, service history, and performance standards
- Ensure compliance with building policies and procedures
Entertaining & Events
- When notified of a planned gathering, coordinate the necessary vendors (catering, staffing, rentals) on behalf of the residence
- Plan, run, and manage events on-site from start to finish — from intimate business dinners to cocktail parties for up to 40 people
- Events are typically held in the evenings; during active periods, the residence may host two or three events per week of each kind (e.g., dinners, cocktails)
- Frequency varies and events do not occur every week, but in-person evening availability is a regular requirement of the role
Projects & Maintenance
- Coordinate repairs, improvements, and home updates
- Liaise with interior designers and specialized vendors as needed
- Maintain records of appliances, warranties, and service schedules
Administrative Coordination
- Forward vendor invoices and receipts to the principal’s office for payment processing
- Coordinate with the principal’s office and relevant stakeholders on billing and approvals
- Maintain household documentation for guest use (Wi-Fi, instructions, local information)
Communication & Discretion
- Demonstrates exceptional situational awareness, anticipating household needs through careful observation of routines, preferences and patterns
- Displays cultural and social fluency when interacting with diverse personalities and high-profile individuals
- Liaise with principal’s office, vendors and guests
- Anticipate needs and proactively address issues
- Provide responsive support during travel periods and schedule changes
- Maintain the highest level of discretion and professionalism
Qualifications
- Prior experience managing a private home or luxury residence preferred
- Exceptional attention to detail and organizational skills
- Strong judgment and ability to work independently
- High level of discretion and professionalism
- Able to accept engagements on short notice in connection with the principal’s visits, and to step back during periods of residence occupancy
- Strong communication skills and comfort with messaging and coordination tools
- Operates as an independent property concierge or caretaker, ideally with other private clients
Schedule and Compensation
- This engagement is available on a 1099 independent contractor basis only (not as a W-2 employee). The contractor is responsible for their own taxes, insurance, and bonding.
- Engaged on a per-visit and per-task basis; contractor sets their own schedule for routine caretaking visits
- Flexible schedule with advance notice where possible
- Hourly rate range: $50–$75 per hour, commensurate with experience
- Milestone payment of $500, payable upon the contractor’s successful completion of the first 60 days of engagement, contingent on satisfactory delivery of contracted services
Insurance, Bonding, & Vetting
Candidates must either hold — or be willing to obtain prior to engagement — the following coverage:
- Bonding: $25,000–$50,000
- General liability insurance: $1,000,000 per occurrence
